When the office is closed for holidays, it’s essential to ensure all procedures are followed to manage incoming calls, secure the office, and redirect communication effectively. This article outlines the steps to prepare for holiday closures, including managing calls through ShowingTime, forwarding phones, and securing the office premises.

Please follow these instructions carefully to ensure a smooth closure and reopening process.



Steps to Prepare for Office Holiday Closures

  1. Manage Incoming Calls via ShowingTime:

    • Receive 'Holiday' form from:
    • Fill out the "Holiday Closure Incoming Calls" form available here.
    • The form must be signed by the Broker of Record (Lisa G.) before submission.
    • Submit the completed form to ShowingTime to direct all incoming calls accordingly.
  2. Forward Office Phones:

    • Use the Net2Phone system to forward office calls.
    • Log in to the Net2Phone portal using your admin credentials.
    • Set up call forwarding to the designated phone number(s) for holiday coverage.
    • Save and apply the changes.
  3. Lock the Office Doors:

    • Use the Kantec System via remote desktop to lock all office doors.
    • Verify that the doors are securely locked and the system is armed.


Reminders for Reopening

Once the holiday period is over, it’s crucial to undo the temporary changes made. Set a reminder to complete the following tasks:

  • Disable Call Forwarding:

    • Log back into the Net2Phone system.
    • Remove call forwarding and ensure the phone system is set to normal operations.
  • Unlock Office Doors:

    • Access the Kantec System via remote desktop.
    • Unlock the doors and verify access control is back to standard settings.
